EmbroONE privacy policy

Who this policy covers

EmbroONE is used by businesses ("units"). A unit's owner or manager adds the people who work there. If you use EmbroONE because your unit added you, the unit decides what business records are kept, and we process them on the unit's behalf.

What we collect

• Account details. Your name and mobile number, added by your unit's owner or manager, and a 4-digit PIN that you use to sign in. The PIN is stored only in a protected (hashed) form; nobody, including us, can read it.
• Business records your unit enters. Designs, materials and vendors; parties, orders, challans and payments; purchases and vendor payments; machines and shift entries; operators, salaries, advances and salary slips; and your unit's firm details such as name, address and GST number.
• Photos you choose to add. Photos of designs, fabric, vendor bills and machine screens, taken with the camera or picked from your gallery from inside the app. The app uses the camera and gallery only when you tap a photo button. It does not read your gallery in the background.
• Technical information. The date and time of sign-ins, the network address a request came from, and a record of who changed which business record and when. We use these to keep accounts secure and to give each unit an audit trail.

We do not collect your location, your contacts or advertising identifiers. The app contains no advertising and no third-party analytics or tracking tools.

How we use it

• To let you sign in and to show you the records your role allows.
• To store, display, print and share your unit's records at your request.
• To read a photo of a vendor's bill or a machine's screen into a form, when you ask the app to do so (see "Reading photos" below).
• To send a sign-in or PIN-reset code to your mobile number.
• To keep the service secure, prevent misuse and fix problems.

We do not sell personal information, and we do not use it for advertising.

Reading photos

When you take a photo of a vendor's bill or a machine's screen and ask EmbroONE to read it, that photo is sent to an AI service provider (OpenAI) only to extract the numbers and text in it. The result is shown to you to check; nothing is saved until you press Save. We do not use these photos for any other purpose. Photos of designs and fabric are stored but are not sent for reading.

Who we share it with

• Your unit. Other people in your unit see records according to the permissions the owner gives them.
• Service providers who host and run EmbroONE for us: Amazon Web Services (servers, database and file storage), OpenAI (reading photos, as described above) and, when messaging is enabled, WhatsApp (Meta) to deliver sign-in codes to your mobile number.
• Authorities, when the law requires it.

Where it is kept and for how long

Records are stored on Amazon Web Services servers in the Asia Pacific (Sydney) region, encrypted in storage and in transit (HTTPS). We keep a unit's records for as long as the unit uses EmbroONE. Business records are kept as a history rather than erased, because units rely on them for their accounts.

Your choices

• See or correct your details: ask your unit's owner or manager, who can change your name and mobile number.
• Stop using the app: ask your unit's owner or manager to switch off your access. You will no longer be able to sign in to that unit.
• Delete your account and personal details: follow the steps on the Delete your account page. We remove your sign-in and personal details within 30 days. Business records you entered for a unit (for example a shift entry) stay with that unit, with your name removed where the law allows.
• Close a whole unit: the unit's owner can write to us to close the unit and have its records deleted.

Children

EmbroONE is a workplace tool and is not intended for anyone under 18.

Changes

If we change this policy we will update the date above and, for important changes, tell unit owners in the app or by message.
